Discord integration

Create and share tasks, get notifications, and follow project activity in Discord

Overview

The Vaiz Discord integration brings your tasks into the place where your community or team already talks. Create tasks from Discord messages, find a task and share its card in a channel, get personal notifications in direct messages, and follow project activity in the channels you choose.

The Vaiz bot does the work in Discord. It posts only where you allow it, and commands always act as your own Vaiz account, with your access rights.

Key benefits:

  • Turn messages into tasks — Create a task from any message, with its text, files and a link back to Discord
  • Share tasks in a channel — Find a task with /vaiz-find and post its card; teammates can take the task or change its status right from the card
  • Stay informed — Get assignments, mentions and other updates as direct messages from the Vaiz bot
  • Follow projects — Stream task activity of each project to its own Discord channel
  • Automate workflows — Send a message to a Discord channel when something happens on a board

How to install

The Discord integration is installed from within Vaiz. There are two connections, and you can use either or both:

  • Personal links your Discord account to your Vaiz account. It gives you the commands, task cards and notifications.
  • Space adds the Vaiz bot to a Discord server. It lets Vaiz post project activity and automation messages to the server's channels.

To connect your account:

  1. Sign in to your Vaiz account and open your Space
  2. Navigate to App Center → Apps → Discord
  3. On the Personal tab, click Connect
  4. Confirm the access on the Discord page and click Authorize

Discord brings you back to Vaiz, and the Vaiz bot sends you a welcome message.

To add the bot to a server (Space Owners only):

  1. Open App Center → Apps → Discord and switch to the Space tab
  2. Click Connect and choose the Discord server. Discord lists the servers where you can add apps
  3. Click Authorize

You can connect several Discord servers to one Vaiz Space.

Key features

1. Create tasks from Discord

Create a Vaiz task without leaving Discord:

  • Slash command — Type /vaiz-task with a title and pick a board from the suggestions to create the task at once. Without a board, a form opens where you set the title, description, board and priority
  • Message action — Right-click a message (or open its ⋯ menu) → Apps → Create Task from Message. The form is prefilled with the message text

A task created from a message keeps the message formatting, a link back to it and up to 10 of its files. On a server with the Vaiz bot, the bot replies to the message with the task card, so everyone in the channel can see that the task exists.

If a channel is matched to a project, that project's boards come first in the list.

2. Find tasks and share them

Discord doesn't preview Vaiz links, so Vaiz gives you a command for that. Type /vaiz-find with a task title, a task key such as PROJ-123 or a Vaiz task link, and pick the task from the suggestions. Vaiz posts the task card with its project, board, status and assignees.

The card has buttons:

  • Open in Vaiz — Opens the task
  • Take it — Adds you to the task's assignees
  • Change status — Moves the task to another column of its board

The buttons work for anyone with a linked Vaiz account and the rights to change the task. The card updates in place, so the channel sees who took the task and where it moved.

3. Notifications in direct messages

Receive Vaiz notifications as direct messages from the Vaiz bot: task assignments, mentions, comments and updates on tasks you follow. Choose which ones you get in Profile → Notifications, in the Discord column. The Configure button on the Notifications card in App Center opens the same settings.

If your Discord privacy settings don't allow direct messages, App Center shows a warning under your account. Allow direct messages in Discord, and the next notification will arrive.

4. History events

Stream project activity to a Discord channel: new tasks, completed and reopened tasks, assignments, renames, moves between columns, archiving, and changes of priority, type and due date. Each event is a separate message with a link to the task.

Configure it in App Center → Apps → Discord → Space → History events by matching each Vaiz project to a channel. When a member has linked a Discord account, the message shows their Discord name without pinging them.

5. Automations

Build automations that post to Discord when something happens on a board. Examples:

  • When a task moves to QA Ready → Notify the QA channel
  • When a task is assigned to a specific person → Post a message to the team channel
  • When a new task is created → Announce it in the project channel

First, choose the channels automations may post to in App Center → Apps → Discord → Space → Automation. Then open your board's Automation tab, select Send Message to Discord as the action, pick a channel and write the message. Variables such as the task key, title, priority and status are filled in when the message is sent.

Configuration details

Personal connection

Any Space member except guests can link a Discord account. The link is made per Vaiz Space, and one Discord account can be linked to several Spaces. It enables:

  • Create tasks — /vaiz-task and Create Task from Message
  • Find tasks — /vaiz-find and the task card buttons
  • Notifications — Direct messages from the Vaiz bot

Commands work on any server and in direct messages with the bot, even where the bot is not installed. If your account is linked to more than one Space, Vaiz asks which Space a new task should go to.

Space connection

Only Space Owners can add the bot to a server. The Space connection enables:

  • History events — Project activity in matched channels
  • Automation — Messages from board automations

The channel list in App Center shows the text and announcement channels of the server. A channel where the bot isn't allowed to post is shown, but can't be selected.

Permissions and data access

When you connect Vaiz to Discord, it asks only for what its features need.

Personal connection:

Permission
Purpose
Your username and avatar
Show which Discord account is linked and match it to your Vaiz account
Commands
Make /vaiz-task, /vaiz-find and Create Task from Message available to you
Direct messages from the bot
Deliver your Vaiz notifications

Space connection (the Vaiz bot on a server):

Permission
Purpose
View channels
List the channels you can match to projects and automations
Send messages and send messages in threads
Post task cards, history events and automation messages
Embed links and attach files
Show task cards with their details and links
Read message history
Reply to the message a task was created from and update task cards

The bot doesn't ask for Discord's privileged access: it doesn't read the content of messages in your channels, the server member list or presence. Vaiz receives the text of a message only when you run Create Task from Message on it.

Data handling and privacy

What data is stored: For a linked account, Vaiz stores your Discord user ID, name and avatar. For a connected server, it stores the server ID, name and icon, the list of its channels, and the channels you selected for automations and history events. Vaiz doesn't store your Discord sign-in token.

How data is used: The text and files of a message are used only to create the task you asked for. They become part of that task in your Vaiz Space. Account and channel data is used to route commands, notifications and messages.

Images: Discord avatars and server icons in App Center are loaded through Vaiz, so your browser doesn't connect to Discord to show them.

Data retention: Tasks created from Discord stay in your Vaiz Space for as long as your account is active. Connection data is kept while the integration is connected and is deleted when you disconnect.

Your rights: You can request access to, export or deletion of your personal data at any time by contacting us at [email protected].

For full details, read our Privacy Policy and Terms of Service.

Disconnection and cleanup

You can disconnect at any time in App Center → Apps → Discord:

  • Personal — Disconnect your account on the Personal tab. Commands then ask you to connect again. To remove Vaiz from your Discord account completely, also open User Settings → Authorized Apps in Discord and click Deauthorize
  • Space — Disconnect the server on the Space tab. The bot leaves the server unless another Vaiz Space still uses it. Removing the bot from the server in Discord also stops the connection, and App Center offers to reconnect it

Security

If you discover a security vulnerability related to the Vaiz Discord integration or any other Vaiz product, please report it responsibly to [email protected]. We take all reports seriously and will respond within 2 business days.

All communication between Vaiz and Discord is encrypted using TLS 1.2 or higher. Vaiz checks the signature of every request that comes from Discord, and connecting a server requires the confirmation of a signed-in Vaiz Space Owner.
