Agent routines

Give an AI agent a recurring job. Routines run on a schedule or when tasks, comments, and milestones change, and you decide whether the agent suggests, asks for approval, or acts on its own.

Agent routines

Run AI agents on a schedule or when tasks, comments, and milestones change, in Suggest, Ask, or Auto mode.

Key capabilities

Recurring AI work that follows your rules

Schedules and triggers

Start a routine at a set time, or let a change in the project start it for you.

  • On schedule: Every hour, day, or week at the time you choose
  • Task events: When a task is created or its group, assignee, priority, due date, or completion changes
  • Team activity: When a comment is added, a milestone changes, or the agent is assigned or mentioned
  • Manual runs: Start a routine yourself whenever you need it

Three levels of control

Each routine has a mode that sets how far the agent can go without you.

  • Suggest: The agent proposes changes without applying them
  • Ask: Actions wait for your approval, while comments are posted right away
  • Auto: Changes apply immediately, and the run page keeps a log

Runs you can review

Every run has its own page where you approve pending actions or check what the agent did.

  • Notifications: Hear about completed and failed runs
  • Auto-disable: A routine that keeps failing turns itself off and tells you
  • Pause: Stop a routine and resume it later with the same setup

Scoped access

Routines work with the same access as the people who create them.

  • Creator permissions: Each run reads and writes with the access of the routine creator
  • Project boundaries: A routine never works outside its project or selected boards
  • Power-up: Turn on Routines for your space when your team is ready

From weekly reports to triage

Put repeat work on a schedule

Routines fit work that happens on a rhythm or in response to the same events. Describe the job once, pick when it runs, and the agent picks it up every time.

Status reports: Summarize what moved, what is blocked, and what is due next every Monday morning. Triage: Suggest an owner, priority, and due date for every new request. Follow-ups: Remind owners about overdue work right in the task comments.

Stay in control of every change

Choose how much the agent can do

Start a new routine in Suggest mode to see what the agent would do. Switch to Ask when its proposals look right, so every action waits for approval. Use Auto for low-risk work where a log is enough.

Routines work alongside rule-based Automation and the Vaiz Agent chat. Use automation for fixed if-then rules, and routines when a step needs an agent to read the context and decide.

Common questions

A schedule, a new or updated task, a new comment, a created or updated milestone, assigning or mentioning the agent, or a manual run.

Suggest only proposes changes. Ask prepares actions that wait for your approval on the run page, while comments are posted right away. Auto applies changes immediately and keeps a log of what was done.

No. Every run uses the access of the person who created the routine and stays within its project or selected boards.

You get a notification when a run fails. After repeated failures, Vaiz disables the routine automatically and lets you know.

Automation runs fixed trigger, condition, and action rules. Routines give the work to an AI agent that reads the context and decides what to suggest or change.
