How to customize a board in Vaiz


n Vaiz, you can customize a board in two ways. You can change how the board looks for yourself, and you can update shared board settings that affect everyone who uses the same board.

This article explains how to use filters, adjust the board view, manage shared board settings, and control board access.

Step 1. Open the board

In the top-left corner, choose the space where your project is located.

In the left sidebar, open the project you want to work with.

Step 2. Filter tasks on the board

In the top-right corner of the board, click “Filters”. This opens the filter panel, where you can narrow tasks by different fields, including:

  • Assignee,
  • Due date,
  • Types,
  • Milestones,
  • Priority,
  • Relations,
  • Creation date,
  • Misc,
  • Custom fields.

You can also use the Search field at the top to find a task by its title or task ID.

For example, if you want to find your urgent tasks, select Assigned to me in Assignee and High priority in Priority.

If you want the board to show only tasks that match all selected conditions, turn on Exact match at the bottom of the panel.

Note: if Exact match is turned off, the result can be broader.

Step 3. Save and reuse a filter

To avoid setting up the same filter from scratch every time, you can save it and use it again later when needed.

Once your filter is ready, enter a name and save it. For example, you can create a filter called High priority and use it whenever you need to check urgent tasks.

To remove the current filter, click the close icon in the filter bar.

To use it again later, open Filters and choose it from the saved filters list. You can also edit an existing saved filter or create a new one.

Step 4. Customize the board view for yourself

To change how the board looks only on your side, open the three-dot menu in the top-right corner and select Appearance.

Note: these settings are personal, so they do not affect how the board looks for other users.

In Appearance, you can adjust the board view with options such as:

  • Expand property titles
  • Indicate unseen tasks
  • Cover images
  • Show subtasks in groups
  • Extend subtasks view
  • Show hidden groups

These options help you reduce visual noise and make the board easier to scan. You can hide extra details to keep the board cleaner, or make subtasks more visible when you need more context.

In the same way, if a task includes a cover image, you can hide it with the corresponding toggle. If subtasks make the board feel crowded, you can hide them from groups to keep the layout more compact, and so on.

Step 5. Change shared board settings

If you are a board owner, open the three-dot menu in the top-right corner and select “Board settings”.

Notes:

  • Only board owners can change shared board settings, otherwise you will not see these settings on your board.
  • Changes made here affect the board for everyone who has access to it.

Appearance

In the Appearance section, you can change the board name if needed. When you are done, click Save changes.

Board groups

In Board groups, you can manage the columns on the board, hide groups, and create new ones.

To edit a group, click the pencil icon on the right. From there, you can change the group name, add a group description, and set limits. When you are done, press Enter or click the pencil icon again to save your changes automatically.

Types

In Types, you can create a new task type, edit existing types, hide them, or delete them.

To update a type, click the pencil icon on the right. You can then change the type name and description. When you are done, press Enter or click the pencil icon again to save your changes automatically.

Custom fields

In Custom fields, you can create new fields, edit existing ones, manage their options, and control whether they are visible on the board.

To edit a custom field, hover over it and click the pencil icon that appears. From there, you can change the field name or add a description.

Danger zone

If you have owner access to the board, you can use Archive Board to remove the board from active work without deleting it permanently. An archived board can be restored later.

If you no longer need the board, use Remove Board. This action cannot be undone.

Step 6. Manage board access

To manage who can access the board, open Board settings and go to the Team tab.

Here, you can add individual users or groups to the board using Add Members & Groups.

You can also change the Entity role for a specific person or remove their access.

Note: these changes apply only to this board and do not affect access to the whole space.
