Spaces, projects, boards, and tasks in Vaiz: what's the difference?
In Vaiz, your workspace is built from four main containers – spaces, projects, boards, and tasks – plus two cross-cutting layers: milestones for planning and dashboards for analytics.
Element | Type | What it is | Use it for |
|---|---|---|---|
Space | Dashboard | The highest workspace level | Organizing a company or large team |
Project | Container | A work area inside a space | Grouping work by department or direction |
Board | Container | A workflow inside a project | Managing tasks through stages |
Task | Work item | A specific piece of work inside a board | Managing and completing individual work items |
Milestone | Planning layer | A group of related tasks inside a board | Tracking progress toward a larger goal |
Dashboard | Analytics layer | A visual overview of work | Monitoring work and team activity |
What is a space?
A space is the highest level of organization in Vaiz. Most teams use a space for the whole company or for a major business area. For example, you might create separate spaces for marketing and client projects.

A space contains projects, space and personal docs, dashboards, and other shared workspace areas. Space docs are available to members of the workspace, while personal docs stay private to each user.

What is a project?
A project is a workspace inside a space where a team organizes work around one department or larger work area.

Projects help separate different areas of work without creating a new space for each one. Inside a project, you can keep related boards and project docs together in one clear context. For example, inside a company space, you might have separate projects for development and marketing.
Each project can also have its own dashboards for tracking work in that specific area.
What is a board?
A board is a workspace inside a project where tasks move through a workflow. Each board can represent a specific process, such as editorial planning or paid acquisition.

Teams often create several boards inside one project when different workflows need separate views.
What is a task?
A task is the smallest work item inside a board. It represents something that needs to be done.

Each task has a status, priority, deadline, and assignee. You can also add a description, comments, subtasks, and other context.
What is a milestone?

A milestone is a planning layer that helps group related tasks around a larger delivery goal. This can be a sprint, release, epic, or quarterly outcome.

Milestones live inside boards and let teams track higher-level progress instead of monitoring tasks one by one.
What is a dashboard?
A dashboard is an analytics layer that gives you a visual overview of work. It can include cards with task lists, milestones, charts, recent documents, activity, or other useful information.

Instead of opening several boards to understand what is happening, you can use dashboards to bring key data into one place.
Space dashboards
Use space dashboards for company-wide visibility. They help you see what is happening across teams or projects.
Project dashboards
Use project dashboards for department-level or team-level analytics. They help you monitor work inside a specific project and spot bottlenecks in one place.
Example structure in Vaiz
Here is how this structure can work in practice:
Space: Event space
↳ Project: Marketing
↳↳ Board: Content production
↳↳↳ Tasks: articles, briefs, reviews, publishing steps
Inside the board, milestones like "Q1 launch campaign" can group related tasks around one delivery goal. At the same time, a space dashboard can show overall marketing progress across projects and boards.
