How to create a space in Vaiz


Creating a Space in Vaiz is the first step to organizing your work and collaborating with your team. Each Space is a separate environment with its own projects and members, so you can keep different areas of work organized and manage access independently.

Step 1: Create a new Space

Click the current Space name in the top-left corner to open the Space menu. Under Your spaces, click Create new space.

Review the introduction and click Start creating. If you don’t want to see this screen the next time you create a Space, uncheck Show every time.

Enter a name for your new Space in the Name field, then click Create space.

Once the Space is created, click Switch to Space to open it. If you want to stay in your current Space, click Dismiss instead.

Step 2: Invite team members

When you switch to the new Space, you can invite people to join it. If you want to set up the Space first, click Invite later and add members whenever you’re ready.

If you’re ready to add members now, enter their email addresses, then click Invite to send the invitations.

Once you’ve invited your team or chosen to do it later, click Finish to complete the setup.

Step 3: Manage your Space team

You can add and manage team members at any time after creating the Space. Click the Space name in the top-left corner and select Team.

The Members tab shows everyone who belongs to the Space. To add a new member, click Invite in the top-right corner.

Switch to the Groups tab to organize Space members into groups. If there are no groups yet, click Create Group to create the first one.

Manage member roles

Each member has a role that determines their level of access. Click the current role next to a member to view the available options:

  • Owner has unrestricted access to the Space and its content and settings.
  • Manager can add and remove members except Owners.
  • Member can interact with content but cannot make changes to members.
  • Guest has viewing access to the Space and its content but cannot make changes.

Note: An Owner’s role cannot be downgraded, so the menu is disabled for Owners. For members with other roles, the role selector is active and can be used to update their access.

Access member settings

Click the three-dot menu next to a member to access additional options. From here, you can open their Profile, manage Group membership and Projects access, or select Manage member for additional settings.

Filter members by status

Click Status to filter the member list by Active, Deactivated, or Pending members.

Export members to CSV

To export the member list, click the three-dot menu next to Invite, then select Export to CSV.

Step 4: Switch between Spaces

To switch to another Space, click the current Space name in the top-left corner and select the Space you want to open.

Note: spaces you own or belong to are listed under Your spaces. Spaces shared with you are listed separately under Shared with you.
