How to add and manage custom fields


Custom fields in Vaiz let you add extra information to tasks beyond the default properties — for example, tracking budget, campaign status, client name, or approval stage. They make it easy to adapt your workspace to your team's needs and manage projects more effectively.

In this guide, you'll learn how to create, configure, filter, and manage custom fields step by step.

Step 1. Open a task

Custom fields are available to all users. To access them:

  1. In the top-left corner click the space switcher and choose the space where you want to work.

2. Select the project where you want to manage tasks.

3. Inside the project, choose any board you need.

4. On the board, you’ll see columns with tasks (e.g., Backlog, To Do, In Progress).

5. Find the task you want to edit and click on it.

Step 2. Explore default task fields

When you open a task, you’ll see a task details panel with several built-in fields:

Location

Shows the project, board, and column where the task is located.

Milestones

Link the task to a milestone if your project uses them.

Types

Define the task type if your project supports categorization.

Dates

Set deadlines or important dates related to the task.

Priority

Choose between High, Medium, Low, or leave unset.

Assign

Select one or multiple team members responsible for the task.

Blockers

Create tasks or link existing tasks that block the current one.

Blocking

Link tasks that depend on this one being completed first.

Other

A free-form field for attributes that don't fit the standard options, useful for quick notes or custom tags per task.

Area

Categorize the task by functional area (e.g., Product, Frontend, Marketing).

Objective

Link the task to a strategic goal or initiative.

Notes:

You can reorder default fields by moving them up or down in the list in two ways:

  • Drag-and-drop: hover over a field, grab the six-dot handle on the left, and drag it to the desired position.

  • Use the field menu: click the field name and choose Move to the top or Move to the bottom from the menu.

Alternatively if some fields aren’t needed, you can hide them. To do this, click the field name and toggle Visibility off in the menu.

The hidden field will be stored at the bottom of the list under a collapsed section — click it to expand.

Step 3. Add a custom field

To create a new field for your task, click “Add new field” at the bottom of the field list in the task details panel.

A menu will appear where you can select the data type for your new field.

  • Text — add any free-form information.
  • Number — store numeric values like prices, quantities, or scores.
  • Date — specify an additional date (separate from the main task due date).
  • Boolean — create a yes/no toggle.
  • Member — select one or more team members.
  • Linked Tasks — link this task to other tasks.
  • Select — create a dropdown with predefined options.
  • Link — add an external link.
  • Estimation — track time or effort estimates in a structured format (e.g., hours, story points) with built-in input formatting.

Step 4. Manage custom fields

For custom fields, you can move them up or down the list or hide them, just like default fields. However, you can also manage them for deeper customization:

  1. Click on the custom field and select Manage field.

2. You’ll be redirected to the Board Settings page.

3. Scroll down to the Custom fields section.

4. Hover over the field you want to edit — a pencil icon will appear on the right.

5. Click the pencil to rename the field or add a description if needed. All changes are saved automatically.

Note: You can also hide unnecessary fields or create new ones in this section.

Step 5. Filter tasks by custom fields

In your project board, click Filters in the top-right corner.

In the filter menu, you’ll see various default filtering options. Scroll down to the Custom fields section — here you can filter tasks by the values of any custom fields you’ve created.

Simply check the boxes or select the necessary options to display only the tasks matching your criteria.
