Billing in Vaiz: plans, limits, and how to upgrade
This article explains how billing works in Vaiz, where to find billing settings, what plans are available, and how limits apply to your space. After reading it, you’ll understand what’s included in each plan and what happens when you reach a limit.
Who can access billing settings
Billing settings are available only to Space Owners. Managers and other roles won’t see the Billing section, even if they have access to other space settings.
Where to find billing
Billing is accessed from your space menu:
- Open the space switcher in the top-left corner.
- Select Billing from the menu.
The billing page opens as a full-size window with several sections.

Subscription tab: your current plan
When you open Billing, you land on the Subscription tab by default. This section shows the details of the plan currently applied to your space.

Here you can see:
- Your active plan (Free, Pro, or Premium).
- Number of users included in the plan.
- Billing cycle and price (for paid plans).
- Next payment date (if applicable).
Below the plan details, Vaiz displays your current limits and usage, including:
- Users in space — how many people are currently in the space versus the allowed maximum.
- Storage used — how much file storage your space is using.
- Automations run — how many automations have been executed during the current month.
These indicators help you quickly understand how close your space is to reaching its limits.

Price plans tab: available plans in Vaiz
The Price plans tab gives an overview of all plans available in Vaiz. Here you can compare plans and see what’s included in each one.

Free plan
The Free plan is designed for small teams who want to explore Vaiz and start organizing their work without any upfront cost. It does not expire and lets you use the core features of the product within defined limits.
It includes:
- Up to 10 users in a space.
- 2 GB of file storage.
- 100 automations per month.
- Basic tools.
- Change history limited to the last 10 edits.
Pro plan
The Pro plan removes most usage limitations and is designed for growing teams that need more flexibility, storage, and automation capacity as their work scales.
It includes:
- Unlimited team users (paid per user).
- 500 GB storage limits.
- Unlimited automations.
- Unlimited history.
- Essential tools.
Premium plan
The Premium plan is designed for teams that need maximum flexibility and full access to everything Vaiz offers, without worrying about limits as the workspace grows. It’s ideal for scaling teams, complex projects, and advanced workflows where performance and capacity matter.
It includes:
- Unlimited users (paid per user).
- Unlimited storage.
- Unlimited automations.
- Unlimited history.
- AI tools and assistants.
- Priority support.
Note: At the moment, upgrading to a paid plan is handled through Contact sales, which we’ll explain in more detail below.
Early Bird plan
While Vaiz is growing, we offer an Early Bird plan for early adopters. This plan gives temporary free access to Premium features and is activated manually by our team.
If you're interested in the Early Bird plan, contact our sales team through the Contact sales form on the Price plans tab.
What happens when you reach a limit
Vaiz notifies Space Owners both in the interface and by email when usage approaches a limit, and sends an early warning once it reaches 95%, so you have time to take action before restrictions apply.
User limit
If your space reaches the maximum number of users (10 on the Free plan), you won't be able to invite new members or import projects.
When you try to invite someone, you'll see a "Team is full" error.
To resolve this, you can either remove existing members to free up seats or upgrade your plan.

Storage limit
Vaiz continuously monitors storage usage and notifies you in advance when limits are approaching.
At 95% usage, Space Owners receive a warning notification (both in-app and by email), so there’s time to prepare.

At 100% usage:
You'll see a "Storage limit reached" notification.
- You can continue editing existing tasks and documents.
- File and media uploads are blocked in tasks, documents, comments, and milestones.
- You cannot create new entities (projects, boards, tasks, documents, milestones).
- Deleting files won't free up storage space immediately.

Note: To continue working without limits, you’ll need to upgrade your plan.
Automation limit
On the Free plan, automations are capped at 100 runs per month to prevent excessive background activity.
Once the limit is reached:
- Additional automations won’t run.
- You’ll see a notification explaining when the limit resets on the Automations page.

Note: The automation counter resets automatically at the start of the next billing cycle. The limit counts all automation runs across all boards in your space, not per board or per rule.
How to upgrade or change your plan
To upgrade or change your plan, open the Price plans tab and click Contact sales next to the plan you want.
Fill in the form with your name, work email, phone number, and describe your request. Our team will review it and help you complete the upgrade.

Note: You can upgrade at any time — you don't need to wait until you reach a limit.
