How to create and manage a task in Vaiz


Creating tasks in Vaiz helps you organize work and track progress across your projects. Each task keeps all relevant information, discussions, subtasks, and updates in one place, making collaboration easier for your team.

Follow the steps below to create a task and make the most of its features.

Step 1. Create a task

From the workspace menu in the top-left corner, select the Space where you want to work. If you don't have one yet, see the guide on creating Spaces.

In the left sidebar, open the Project where you want to create the task. If needed, create a new Project by following this guide.

Open the Board where you want to add the task. If one doesn't exist yet, create it by following this guide.

Then click “Add task” in the group where you want to add it.

Enter a task name, then click “Add task” or simply press Enter to create it.

Step 2. Manage a task from the board

Hover over the task card to display additional controls that let you manage the task without opening it.

Click the assignee icon to assign the task to yourself or another workspace member. Use the search field to quickly find the required user.

Click the "+" icon to quickly set the task type, due date, priority, or assign members without opening the task.

Click the three-dot menu in the top-right corner of the task card to access additional actions, such as opening the task as a page, moving it to another board, duplicating, archiving, deleting it, and more.

Step 3. Open a task

Click the task card to open it.

In the top-right corner of the task, you can add it to Favorites, follow or unfollow it, copy its link, or open the additional actions menu.

Click the three-dot menu to access additional actions, such as opening the task as a page, viewing the description history, downloading it as a PDF, moving it to another board, converting it to a milestone, duplicating, archiving, deleting the task, and more.

Step 4. Configure task settings

Change the task group

Use the Location field to move the task to another group on the board.

Add a milestone

Use the Milestones field to attach an existing milestone.

If the required milestone does not exist, create a new one directly from the dropdown.

Select a task type

Use the Types field to select an existing task type.

If needed, create a new task type directly from the same menu.

Set task dates

Use the Dates field to configure either:

  • a single due date;
  • a start and end date range.

Click Apply to save the selected dates.

Set a priority

Use the Priority field to choose the task priority.

Assign a task

Use the Assign field to assign the task to the person responsible for completing or reviewing it.

Add blockers

Use the Blockers field to link tasks that block the current task.

Select an existing task or create a new one directly from the dropdown.

Add dependent tasks

Use the Blocking field to link tasks that depend on the current task.

Select an existing task or create a new one directly from the dropdown.

Connect GitHub

Use the GitHub field to connect GitHub entities to the task.

Note: If GitHub has not been connected to your workspace yet, follow this guide.

Add custom fields

Click Add new field to create additional task fields.

You can add the following field types:

  • Text
  • Number
  • Date
  • Boolean
  • Member
  • Linked Tasks
  • Select
  • Link
  • Estimation

Step 5. Create and manage subtasks

Use the Subtasks section to divide a task into smaller pieces of work.

Start typing the subtask name.

Click Create task from the dropdown or simply press Enter. The subtask is created immediately and added to the task.

From the subtask table, you can:

  • mark subtasks as completed;
  • change their group;
  • change their priority;
  • assign members;
  • set due dates;
  • edit other available task properties.

The progress indicator above the table shows how many subtasks have been completed.

Step 6. Add a description

Use the Description section to document requirements, notes, specifications, or any other task details.

Simply type your content into the editor.

To add an embedded tool, type "/". Select the required tool from the drop-down menu.

Generate content with AI

To generate content with AI, type “?” in the description field.

Step 7. Add comments

Use the Comments section to communicate with your team.

Type your message in the comment field. Before publishing the comment, you can format the text, insert links, attach files, add images, and use the available formatting tools. Click the Send button to publish the comment.

Open the three-dot menu on any comment to access additional actions:

  • Reply to comment
  • Copy comment link
  • Edit comment
  • Delete comment

Step 8. Review task activity

Open the Activities tab to review the complete history of changes made to the task.

Step 9. Expand or collapse subtasks on the board

If a task contains subtasks, you can expand or collapse the list directly from the board.

Click the arrow next to the subtask counter to display all subtasks.

Click the arrow again to hide them.

Step 10. Complete a task

You can mark a task as completed without opening it. To do this, click the checkbox next to the task.

Note: Completed tasks are highlighted in green and appear faded on the board.
