How to archive and restore items in Vaiz


Archiving in Vaiz helps you keep your workspace clean and organized by storing completed or inactive items out of sight — without deleting them. You can archive milestones, tasks, and documents at any time, and restore them later if you need to continue working on them. In this article, we’ll show how to archive and restore items in Vaiz.

Step 1. How to archive tasks, milestones, and documents

You can archive different entities directly within the sections where you manage them. Each type can be archived in just a couple of clicks from its own menu.

Tasks

Option 1:

  1. Hover over the task on the board.
  2. Click the ⋯ (More) menu on the right side.

Option 2:

  1. Open the task and click the ⋯ (More) menu in the top-right corner of the task window.
  2. Select Archive task.

The task will disappear from the board and move to the project archive.

Milestones

Option 1:

  • In the Milestones tab, click the ⋯ (More) icon next to the milestone name and select “Archive milestone”.

Option 2:

  • Open the milestone, click the ⋯ (More) menu, and select Archive milestone.

Note: In both cases, you can choose “Unlink tasks and archive” or “Archive milestone with tasks”, depending on whether you want to keep the linked tasks active or move them to the archive together with the milestone.

Documents

Option 1:

  • In Space docs or Personal docs, click the ⋯ (More) icon next to the document name and select “Archive”.

Option 2:

  • Open the document, click the ⋯ (More) menu in the header, and choose “Archive”.

The document will be moved to the archive, while all its content and comments remain intact and will be fully restored when you unarchive it.

Step 2. Access the Archive

To view archived items, go to the left sidebar and click “Archive”.

The archive contains all entities you’ve archived — tasks, milestones, and documents — displayed in a single list. Each entry shows its type and who archived it.

Note: You can use the search bar at the top to quickly find specific items by name or keyword. This unified view helps you easily review everything that has been archived across your workspace.

Step 3. Restore items from the Archive

In the Archive, hover over an item to see available options:

  • restore — returns any task, milestone, or document to its original location;
  • delete — permanently removes the item (available only for tasks).

You can also open an item and click ⋯ (More) → “Unarchive” to restore it.

Once restored, the item becomes active again and visible to all users with access.

Notes

  • Archived items remain safe — you can restore tasks, milestones, and documents anytime. However, once a task is permanently deleted, it cannot be recovered.
  • Access matters: only users with the right permissions can view and restore items from the archive. Others won’t see archived content in their workspace.

Automate when possible: you can use automations to archive completed tasks automatically, keeping your workspace organized without manual cleanup.
