How to create and manage member groups in Vaiz


Groups in Vaiz let you organize Space members and manage their access together. You can assign a Space role to the entire group and set different access levels for individual projects.

Step 1. Open Groups

Select the Space where you want to create a group. Click the Space name in the top-left corner and select Team.

The Members tab opens by default. Switch to Groups.

If there are no groups yet, click Create Group in the center of the page. If groups already exist, you’ll see them here and can create another one with + Add group in the top-right corner.

Note: If you don’t see the buttons for creating groups, check your access level in the Space. Only users with a Manager role or higher can create a group.

Step 2. Create a group

The setup window explains what you can configure for the new group. Click Start creating to begin.

Note: The Show every time checkbox controls whether this introduction appears the next time you create a group. Clear it if you want to skip this screen in the future.

Enter a group name and, if needed, add a purpose to explain what the group is used for. Then click Create group.

Choose the Space role that will apply to the group and click Continue.

Enter a member’s name or email address and select the people you want to include. Click Add members when the list is ready.

Note: You can also click Skip and add members later from the group settings.

Next, choose which projects the group can access. By default, each project is set to No Access.

Open the role menu next to a project and select the required access level.

Access can be configured separately for each project, so the same group can have different roles across the Space. Projects that the group should not access can remain set to No Access.

When you’re finished, click Continue.

You can also click Skip and configure project access later.

Note: A group can only extend a member’s existing rights, never reduce them. If a member already has a higher level of access individually, adding them to a group with a lower role does not remove those permissions.

Step 3. Manage new group

Once the group is created, click Manage new Group to open its settings (or select Dismiss if you want to return without making additional changes).

In the settings tab you can update the group name and purpose or change its Space role.

Note: Managers can edit group details, add or remove members, and adjust access only within the permissions they have themselves. They cannot grant access above their own level or manage a group that includes access higher than theirs.

To remove the group completely, scroll to the Danger Zone and click Delete group.

Step 4. Manage existing groups

Created groups automatically appear on the Groups page. The list shows the group members, Space role, and how many projects and boards the group can access.

You can change a group’s Space role directly from this list. Open the role menu and select the new role without opening the group settings.

To make other changes, hover over the group and click Manage. This opens the group settings, where you can update its details, members, and project access.

Step 5. Sort groups

When you have multiple groups, you can sort the list by Name, Members, or Space role. Click the corresponding column heading to sort the list. The blue arrow shows whether the current order is ascending or descending.
